Create, send, and monitor outreach requests

Creating an outreach

  1. Click New Outreach from the Outreach page.
  2. Fill in the Title (what the request is for), Date, and optionally Venue.
  3. Add a Message with details your contacts need — schedule, dress code, parking, pay rate.
  4. Choose a Response Deadline.
  5. Click Send Outreach to go live, or Send Test Outreach to simulate.

Test vs Live outreach

Test outreach simulates the entire flow without sending real emails or using a request. Use it to:

  • See how the outreach detail page works
  • Preview the email your contacts would receive
  • Practice before your first real send

Live outreach sends real emails and uses 1 request from your plan quota. Your contacts will receive the outreach email immediately (or at the scheduled time).

Response deadline

The response deadline is how long each person has to reply before FillCue moves to the next person on your list. Options range from 30 minutes to 1 week.

Shorter deadlines (30 min – 2 hours) are good for urgent, last-minute needs.

Longer deadlines (1 day – 1 week) work better when the date is further out and people need time to check their schedule.

The default is 1 hour, which works well for most situations.

Monitoring your outreach

After sending, you'll land on the outreach detail page. Here you can see:

  • Offer timeline — each person on your list with their current status (Queued, Pending, Accepted, Declined, Expired).
  • Real-time updates — statuses change automatically as people respond. No need to refresh.
  • Controls — you can pause, cancel, skip to the next person, or send a reminder.

Saving templates

After launching outreach, you'll be asked if you want to save the settings as a template. Templates remember your title format, venue, message, and deadline so you can reuse them next time.

To use a saved template, look for the template picker at the top of the New Outreach form.

Scheduling for later

Instead of sending immediately, you can schedule outreach for a future date and time. Select Schedule for later on the outreach form and pick a date.

Scheduled outreach shows a countdown timer on the detail page. You can launch it early, reschedule, or cancel before the scheduled time.

Bulk import from CSV

Need to send outreach for multiple events at once? Use Bulk Import from the Outreach page.

  1. Click Bulk Import on the Outreach page. A CSV upload dialog will open automatically.
  2. Upload a CSV file with columns for Title, Date, and optionally End Date and Venue.
  3. Map your CSV columns to FillCue fields and confirm the preview.
  4. Configure shared settings — contact group, response deadline, personal note, and reliability sorting.
  5. Review the preview and click Send Batch.

Each row creates a separate outreach request and uses 1 request from your plan quota. You can upload up to 50 events per batch.

Test with Send Test Batch first to preview the flow without using requests or sending real emails.
