Add, organize, and import your contacts

Adding a contact

  1. Go to Contacts and click Add Contact.
  2. Check the attestation box to confirm you have an existing professional relationship with this person. This is a legal requirement.
  3. Fill in their name, email, and optionally phone and specialty.
  4. Click Add.

Why the attestation checkbox?

Federal law (TCPA) requires that you have a pre-existing relationship with anyone who receives SMS or email outreach through a service like FillCue. The checkbox confirms:

  • You know this person professionally.
  • You've told them they may receive outreach through FillCue.

This keeps you and your contacts protected. The checkbox starts unchecked — you must actively check it each time you add contacts.

Priority order (drag to reorder)

Your contacts are listed in priority order. When you send outreach, FillCue contacts the person at the top first. If they don't respond in time, we move to the next person, and so on.

To change the order, grab the drag handle on any contact and move them up or down. Your most reliable contacts should be near the top.

FillCue tracks reliability over time. You can use the reliability score on each contact to help decide who should be higher on your list.

Contact groups

Groups let you organize contacts into named lists — for example, “Weekday available,” “Experienced,” or “Nearby.”

  1. Go to Contacts → Groups and click New Group.
  2. Give the group a name, optional description, and color.
  3. Add contacts to the group. Each contact can belong to multiple groups.
  4. Drag to set the priority order within each group — the ranking is independent, so a contact can be #1 in one group and #5 in another.

When creating outreach, you can choose a specific group instead of your full contact list. FillCue will use that group’s ranking to determine the outreach order.

Importing contacts from a spreadsheet

  1. Click Import CSV on the Contacts page.
  2. Upload your CSV or Excel file.
  3. Map columns — tell FillCue which column is the name, email, phone, etc.
  4. Review the preview and check the attestation box.
  5. Click Import.

If some contacts already exist, you can choose to skip duplicates or update their info.

Merging duplicate contacts

Click Find Duplicates on the Contacts page. FillCue will scan for contacts with similar names, emails, or phone numbers and show potential matches.

For each pair, choose which contact to keep as the primary. The other contact's history will be merged into the primary.

Contact limits by plan

The number of contacts you can add depends on your plan:

  • Free: Up to 10 contacts
  • Starter: Up to 25 contacts
  • Individual & Coordinator: Unlimited contacts

If you hit your limit, you'll see a message suggesting an upgrade. Go to Pricing to compare plans.
